I think that this is a great idea for something relatively simplistic, when you have a list of tasks.

Instead of using MS Project you could indeed use a spreadsheet - I have use this method quite often as it can be a challenge to update and make changes in Project.  Here, we are talking about the schedule side of things, we would need more spreadsheets (or one huge, unuseable one) to track resources, progress (through earned value management) and so on.

It is a great idea to use gmail as the repository for information though - probably a lot of people do this anyway without realising it.

Smartsheet does look like a really fully featured online project planning software tool - I will have a look into this a little more.
